Qualifying Event: Divorce

There are many reasons why you would need to make a change to an Employee’s benefits midyear. A fairly common reason might be an Employee going through divorce.

Remember there are a total of 3 steps required to complete a Qualifying Event in THEbenefitsHUB

  • Add, update, or remove the Participant who is driving the Qualifying Event
  • Edit the benefit(s) by adding or removing the Participant
  • Make a Journal Entry to document the changes

In order to process a Divorce Qualifying Event, navigate to the Employee Menu for the Employee who is experiencing the divorce.

To make a status change, you want to locate the gold star next to the dependent you wish to change. To do that, click on the Dependent Information Icon.

On the Status Page, click on the dropdown menu labeled, Change this Dependent’s Status to, and select the correct status for the dependent. Since we are processing a divorce, select Ex-Spouse.

Before clicking Save, add the Effective Date of the status change. If you are unsure of what date to put here, reach out to your Broker for more information!

Don’t forget to click Save!

Popups are your friend! When you click Save, a popup will appear stating the change implies the Employee needs a Martial Status Change. By clicking OK, you will immediately be redirected to the Employee Record to do so.

The Employee Record (aka, Employee Profile) will have a Martial Status section at the bottom of the page. The Employee’s status should automatically be updated to Divorced and the event date should match what you entered on the previous page.

Once you have confirmed the Martial Status information, click Save!

The next step is to update the Employee’s benefits. To do so, navigate to the Benefit Plan Enrollment link under the Benefit Plan Information Icon.

To process the Divorce, the spouse must be removed from all of the Employee’s benefits elections. Click on the benefit name to remove them.

As you can see above, the Employee’s Ex-Spouse will no longer appear next to the benefit election. This is because the status change to “Ex-Spouse” will make them ineligible for any benefits.

All you have to do for each benefit is click Save.

Once you click Save, a popup will appear. This popup will remind you, you are outside of the Open Enrollment period so you will have to enter a Qualifying Event.

When you click OK, you will immediately be brought to the Qualifying Event page. Select Divorce from the Qualifying Event dropdown menu.

If you are unsure of what date to enter in the Qualifying Date field, reach out to your Broker for clarity.

Click Continue to be immediately taken back to the Benefit Plan Enrollment Page.

When you reach this page again, click Save! Continue to save each, individual benefit so the Ex-Spouse is removed from all Employee elected benefits. The Effective Date and the Termination Date will populate automatically when you click Save.

After you have saved each benefit without the Spouse, make a Journal Entry. This is the final step when making a Qualifying Event and will serve as documentation of your actions.
