Introduction

There are many reasons why you would need to make a change to an employee’s benefits midyear. One fairly common reason is processing the termination of an employee.

Remember there are a total of three steps required to complete a Qualifying Event in THEbenefitsHUB.

  1. Add, update, or remove the Participant affected by the Qualifying Event.
  2. Edit the benefit(s) by adding or removing the Participant.
  3. Create a Journal Entry to document the changes.

Processing an Employee Termination

To process an employee termination in THEbenefitsHUB, navigate to the Employee Administration Menu for the employee being terminated. From there, open the Profile page under the Personal Information icon. This link has been marked for you below.

The image below shows the Status section of the Profile page for our favorite training employee, Benny HUBster. You can click the hotspot icons () to learn how to use the fields on this page to terminate an employee in THEbenefitsHUB.

You can also use the button in the top right corner of the image to open it in fullscreen. Press the Escape key on your keyboard to exit fullscreen.

Terminate Plan Elections

After updating the employee’s status, we are directly taken to the Terminate Plan Elections page where we can set an end date for our terminated employee’s benefits. This will show a list of the current and future elections the employee is enrolled in. You can find this link under the Benefit Plan Information icon.

We will add in our termination date based on the information that we entered on the Profile page, and click Save to continue. If you need to refer back to the Termination Date, you can click the ribbon at the top of the page to view it again!

Add Journal Entry

Clicking Save will take you back to the Employee Administration menu, where you will see the “Plan Elections Terminated.” message. From here, click the Add Journal Entry link that is located under the employee’s name. The link have been marked on the image below.

As with any other Qualifying Event Journal Entry, enter the Category and Subject, then click the Save button to complete the documentation of your actions.

Pro-Tips

  • Remember to check out your Export Summary page to review your company's exports following an employee termination. This will help you to know when each carrier will receive the termination.
  • Important: You cannot make multiple status changes for one employee in the same sitting. If you make a mistake with an employee's status change, stop making edits and contact your Account Representative to assist you through the corrections process.
