IMNS Dashboard

Introduction

The Ineligible Member Notification System Dashboard, also known as the IMNS Dashboard is a personal notification system of potential discrepancies and other alerts that you need to take a look at within your company.

How to Find the IMNS Dashboard

Starting at the Company Menu, you will click on the Administration Dashboard icon and the Administrative Tools header.  Within that section you will find the IMNS Dashboard.

IMNS Dashboard

The IMNS Dashboard will display different notifications for each company depending on the services enabled within THEbenefitsHUB. The image below shows the IMNS Dashboard for our training company, BrightPassage. You can click each of the hotspot icons on the image () to learn more about some of the fields on this page.

Pro-Tip

To avoid discrepancies, we recommend to run your IMNS Dashboard once a week. During Open Enrollment, it is recommended to run the IMNS Dashboard once a day due to the increase of logins and enrollments.

IMNS Notification Types

Here is a list of common notifications that may display for you. 

Notification Definition
Dependent Age Eligibility
Dependents are eligible through the “Max Age” listed below and are of an age that exceeds the plan maximums. Therefore, no longer eligible for coverage. Terminate the applicable coverage under the Benefit Plan Information icon
Duplicate SSN
Employees in this notification have duplicate Social Security Number entries as a result of potentially being created via auto-import as well as manual entry. You must contact your Account Representative at ThebenefitsHUB to properly correct the employee record.
Employee Missing Addresses
Employees in this notification are missing required address information. Please update the employee’s record with the missing address information.
Employees Missing Payroll ID Number
A Payroll ID Number must be designated for listed employees. The employee’s Payroll ID Number can be set on the Employee Payroll screen under Employee Administration icon
Inactive Employees with Future Elections
Employees listed are no longer active and have elections effective greater than 3 months from their inactivation date. Election termination dates should be confirmed or corrected on the Terminate Plan Elections screen under the Benefit Plan Information icon
Invalid Character Data
Employees in this notification have invalid character data in at least one of the following demographic fields: [First Name, Last Name, SSN, Gender, Address, Address 2, City, State, Postal Code, or Payroll ID]
LDAP Function/Username
Employees in this notification currently have an LDAP misconfiguration. Please review the user information to confirm set up.
Married Employees
Employees in this notification have a social security number that matches the social security number of a Spouse of another Employee
New Hires with Actively at Work Election
New hires in this notification have selected “Active at Work” as their medical benefit effective date within the last 32 days.
OneAmerica ESOI Cancellations – Next 30 days
Employees and related Members in this notification have unapproved coverage will be cancelled within the next 30 days due to an Incomplete ESOI for more than 61 days from the election effective date.
Termination of Shared Benefits
Employees in this notification have pooled coverage that has been recently terminated. Please update the spouse coverage accordingly.
UNUM ESOI Status
Shows UNUM elections that are waiting on the carrier or employee. Remember: Please be sure to use your EOI reminders.
18-month COBRA Notification
Employees in this notification have active COBRA elections exceeding 18 months. Election termination dates should be confirmed or corrected on the Terminate Plan Elections screen under the Benefit Plan Information icon
Basic Life Reduction Notification
Employees in this notification have an active Basic Life election that is to reduce at the end of the employees’ birth month due to plan reduction schedule.
Duplicate SSN within an Employee’s Record
Employees in this notification have a Social Security Number listed multiple times within the employee’s record and/or the record of their dependents. Please update the duplicate Social Security Number on the employee and/or dependent’s record.
Elections in More Than One Medical Option
Employees in this notification are enrolled in a Medical plan as well as a Shared Medical plan. Terminate applicable coverage under the Benefit Information Icon
Employees Missing Beneficiaries
Employees in this notification are enrolled in a beneficiary required plan and do not have a beneficiary selected.
Employees Missing Pay Frequency
A pay frequency must be designated for listed employees for premiums to display correctly. The employee’s pay frequency can be set on the Employee Payroll screen under Employee Administration icon. It is important to re-save this screen to apply the displayed pay frequency
Inactive Dependents with Active Elections
Dependents listed are no longer active and have elections effective greater than 3 months from their inactivation date. Election termination dates should be confirmed or corrected on the Terminate Plan Elections screen under the Benefit Plan Information icon.
Incomplete New Hire Window
Employees in this notification are currently in their New Hire window and have an incomplete enrollment status.
Invalid Tax Elections
Employees in this notification are currently in their New Hire window and have an incomplete enrollment status.
Locked Age Discrepancies
Reporting for employees with issues regarding Locked Age elections
Medical No Action Employees
Employees in this notification are currently not enrolled in any of the Medical plans offered, including Medical Declination’s. Please enroll the following employees into the ‘Medical Offered – No ACTION’ Plans for ACA Purposes.
OneAmerica EOI Status
Displays OneAmerica elections that are waiting on the carrier or employee.
Split Employees Enrolled in Non-Family Coverage
Employees in this notification are labeled as a “Split” employee however they are enrolled in Employee Only or Employee Child(ren) coverage. Please update the employee’s record and election if they are not splitting Employee Spouse or Family coverage.
TRS Medical No Action Employees
Employees in this notification are currently not enrolled in any of the Medical plans offered, including Medical Declination’s. Please enroll the following employees into the ‘Medical Offered – No ACTION’ Plans for ACA Purposes
Zip Code Eligibility
Employees in this notification are ineligible for an active plan they are enrolled in due to zip code eligibility.
