Manage Test Employees

Introduction

Creating Test Employees can be extremely useful when getting comfortable within THEbenefitsHUB. You can use the Manage Test Employees feature to test different eligibility functions for troubleshooting purposes and more!

Employee Administration Tab

When you log into THEbenefitsHUB, you are immediately brought to your Administration Menu. To create a Test Employee, locate and click Manage Test Employees, under the Employee Administration Icon.

On the Manage Test Employees page, the fields you see should be similar to those when inputting a real employee into the system.

While several of the fields will contain default information, you have the options to customize the data how you like.

At the top of the page, you can enter:

  • When the Test Employee was hired in Days/Months/Year increments
  • Pay Schedule

Once complete, then input:

  • A Fist Name for your Test Employee

    • We recommend a name that is easy to remember, yet specific enough to recall the Test Employee’s eligibility settings

    • Following test Employee Protocol, you must leave the last name as, “Test”
  • Gender
  • Age
  • Birth Date
  • Tobacco User Options

These different fields/settings will come in hand when testing in THEbenefitsHUB:

  • Age restricted benefit plans
  • Changes in coverage for a tobacco user

You will be required to insert an email address for your Test Employees, although this email address can be made up.

Having the email in the Test Employee’s profile will allow you to:

  • View the New Hire Email feature
  • See how email notifications are sent through the Company Communication icon

Feel free to put in a new address or you can leave the defaulted address for convenience.

When it comes to hours worked, be weary of what you input because:

  • Hours Worked plays into ACA reporting
  • Even if you want to test with a salaried Employee, you will want to insert their hours worked per week

The Annual Salary inputted is tied to the Employee’s benefit eligibility. It is very important that this field is entered correctly.

The Division section is the work location of the Test Employee.

For our training purposes, the available options are Divisons 1, Divison 2, and Division 3. The available work locations for your Employees may be The Austin Office, The Dallas Office, and the San Antonio Office.

If you would like to customize the Category for your Test Employee you do have the option to do that. Otherwise, leave this selection as All.

Dependent Information Tab

How do you add dependents to your Test Employee in THEbenefitsHUB? Let’s find out!

Quick reminder: Dependents include the Test Employee’s Spouse and Children. We strongly recommend you create at least one Test Employee with a Spouse/Partner and 2-3 children with at least 1 child being over the age of 27.

Similar to the Employee Information Tab, most fields have a default setting which automatically populates for you. Here, the default dependents for the Test Employee is a Spouse and 2 Children (one of them 27 years old).

If you would like to customize your Test Employee’s Martial Status, you can select an option from the dropdown menu:

  • No Spouse
  • Spouse
  • Domestic Partner

If you would like to customize your Test Employee’s number of Children, you can select a number from the dropdown menu.

You may want to adjust the disabled or tobacco user options, or deselect one of the dependents.

Additional Information Tab


On the Additional Information Tab, enter whether the Test Employee

  1. Us currently enrolled in benefits
  2. Whether they are grandfathered into any plans with THEbenefitsHUB

If your company offers TRS Medical, you could see multiple questions here. There will be default answers and you only have to change the answers when the question does not apply to the Test Employee.

Once all information has been entered, click Create Employee.

The new Test Employee will appear in the table at the bottom of the page. The table will show:

  • Social Security Number
  • Username

This information will be used by you to log into THEbenefitsHUB as the Test Employee.

You have the ability to enter your own unique password or update an old password for a previously created Test Employee here.

Deleting Test Employees


What about when you have finished testing and no longer need your Test Employee? No problem!

The link to the page can be found at the bottom right hand corner of the page we just left off on.

This Delete Test Employees link acts as a search bar!

You may search for a Test Employee by using their Member Type. The options in the dropdown menu include:

  • Employee
  • Spouse
  • Children
  • Ex-Spouse

To search by the Test Employee’s Criteria, you can select from the options from the dropdown menu including:

  • Last Name
  • First Name
  • Social Security Number
  • Visa Number
  • Payroll ID

You are able to search by Keyword. The Keyword is whatever best matches the criteria type you selected. For example, the criteria we selected in the image above is “Search by First Name”, so the keyword is “Benny”.

After you click Search, every Test Employee who fits the settings your entered will appear in the results box.

There will be three different options appear for the Test Employee:

  1. Delete: which will allow you to delete the Test Employee entirely, including their elections.
  2. Delete Elections: Which will allow you to delete only the Test Employee’s benefit elections
  3. Cancel: Which will bring you back to the previous page

Clicking on either of the delete options will trigger a pop-up asking for you to confirm you would like to delete the Test Employee, or their elections. Click OK to continue.

When you have deleted the Test employee, you will be brought back to the Delete Test Employees page and should see a confirmation line stating “Employee Deleted”. That’s THEbenefitsHUB telling you it worked!
